This booklet gives basic procedures for operating an Off Off Broadway box office serving a general admission theatre with 100 seats or less. Small music, dance, multi-media performance groups and community arts organizations will also find the information given here helpful. Topics covered include: tickets, physical set-up, reservations, sales and box office closing. While the main purpose of any box office is to distribute tickets, it must also serve as a control-to make possible an accurate accounting system for tickets purchased and money received. In addition, the box office is a potent public relations tool for any theatre; it is often the only place where the audience meets a personal representative of the theatre. If your box office is well run, you can quickly answer these questions: 1. Why is there so little cash to deposit when the reservation book indicated the house was nearly sold out last night? 2. How much money did we take in last night? Last week? During the last production? Last season? 3. What percentage of this season's ticket sales was full price? How does that compare to last season's figures? 4. What percentage of the audience buys tickets with Theatre Development Fund (TDF) Vouchers (see footnote p. 38)? Does that have mailing list implications? 5. Are we fulfilling City and State regulations? 6. Do we have accurate records, for an auditor, funding source, or legal authority that demonstrate the existence of adequate procedures and controls?
